Why Most Free DHL Commercial Invoice Templates Fail U.S. Shippers

During my years reviewing seized shipments at customs, I've seen the same problems repeatedly with generic templates:

My DHL customs form PDF solves all of these issues because it's built from DHL's actual 2025 specifications and my experience clearing over 10,000 shipments.

Step-by-Step Guide: Filling Out the DHL Commercial Invoice Correctly in 2025

1. Shipper/Exporter Information (Top Left Section)

Your full legal company name and address must match exactly what's registered with the U.S. Census Bureau and your EIN. DHL scans this section to auto-populate their system.

Pro Tip from Experience: Always include your phone number with country code (+1) and a real person's name as contact. I've had shipments held because customs called the listed number and got voicemail.

2. Consignee Information (Top Right Section)

For B2B shipments, use the complete company name as registered in the destination country. For B2C, include the individual's full name exactly as on their government ID.

FieldCommon MistakeCorrect Format
Company Name"Amazon Warehouse""Amazon.com Services LLC"
AddressJust street addressInclude building/floor/suite
PhoneMissing country code+49 30 12345678

3. Invoice Number and Date

Your commercial invoice number MUST be unique and sequential. DHL requires the invoice date to match or pre-date the shipping date – never future-date your invoice.

4. Incoterms and Terms of Sale (Critical Field!)

This is where 60% of my clients made mistakes before working with me. The Incoterm must be one of the 11 official Incoterms 2020 and include the named place.

Examples that actually clear customs:

5. Detailed Commodity Description (The Make-or-Break Section)

U.S. Customs and Border Protection (CBP) and foreign customs authorities reject vague descriptions. According to CBP guidelines, your description must answer:

Bad: "Electronic parts"
Good: "New Apple iPhone 15 Pro Max 256GB Black (Model A2849) – telecommunications device containing lithium-ion battery"

6. Harmonized System (HS) Codes

Six digits minimum, ten digits preferred for most destinations. Use the USITC HTS Search tool – never guess.

7. Country of Origin/Manufacture

This is NOT where the goods are shipping from. For substantial transformation rules, see CBP's marking requirements.

8. Quantity, Unit Price, and Total Value

Must match your actual sales price. For samples or gifts, use fair market value – writing $1 triggers red flags and potential fines under 19 U.S.C. § 1592.

9. Currency and Total Invoice Value

Always declare in U.S. dollars unless your contract specifies otherwise. Include freight and insurance if using CIF or CIP terms.

Special Requirements for High-Value U.S. Exports (Over $2,500)

For shipments valued over $2,500 OR requiring a license, you must file Electronic Export Information (EEI) through AES and include the ITN number on your DHL commercial invoice.
