Why Every Landlord and Tenant Needs a Proper Rent Receipt in 2025

Even if your state doesn’t explicitly require landlords to provide rental receipts (only California, Maryland, Washington, New York City, and a few others do), issuing a rental payment receipt sample is one of the smartest habits you can develop:

According to IRS Publication 527 (Residential Rental Property), landlords must keep records of all rent received, and tenants who itemize may need rent receipts for tax purposes in certain situations.

How to Write a Rent Receipt Step-by-Step (Even If You’ve Never Done It)

  1. Start with “Rent Receipt” or “Receipt for Rent Payment” at the top in bold.
  2. Add your landlord/business name, phone, and email.
  3. Enter the date you actually received the money.
  4. Write the tenant’s full legal name.
  5. List the exact rental property address.
  6. Specify the rent period the payment covers.
  7. Enter the dollar amount in numbers and words if paying cash.
  8. Note the payment method — this is crucial for cash or app payments.
  9. If it’s a partial payment, show the remaining balance.
  10. Sign it (digital signature is fine for PDFs).
  11. Give one copy to the tenant and keep one for your records (7 years recommended by IRS).

Monthly Rental Receipt Template vs. One-Time – Which Should You Use?

Most landlords prefer a reusable monthly rent receipt template. Once you fill in the static fields (your name, property address, rent amount), you only change the date, receipt number, and payment method each month. Tenants love getting the same professional format every time.

Special Cases: Cash, Venmo, Zelle, and Partial Payments

Rent Receipts and Taxes – What the IRS Wants to See

Landlords report rental income on Schedule E (Form 1040). The IRS can ask for proof of income during an audit — bank deposits alone are often not enough if you also accept cash. Tenants in high-cost states may try to claim rent on state tax returns (e.g., New York’s Circuit Breaker Credit), and they’ll need your receipts.
